Email Writing - Formal & Informal Templates
|---|---|---|
| Formal (フォーマル) | 初対面の取引先、教授、応募先、苦情 | Dear Dr. Smith, I am writing to inquire about... |
| Neutral / Semi-formal (標準) | 同僚、繰り返しやり取りする相手 | Hi Sarah, Just following up on... |
3往復目のメールでも "Dear Mr. Johnson, I am writing to..."
"I am terribly sorry to bother you with this small matter, I sincerely apologize for taking your precious time..."
"I was wondering if it might possibly be convenient for you to perhaps consider..."
Question" ではなく "Question about the March invoice"
- Greeting(書き出し) — Dear / Hi / Hello / Hey
- Body(本文) — 要点。
- Closing(結び) — Best regards / Thanks / Cheers
- Signature(署名)
(Greetings)
|---|---|---|
| Formal | Dear Dr. Smith, / Dear Ms. Tanaka, |
| Formal(名前不明) | Dear Hiring Manager, / To whom it may concern, | "To whom it may concern" はやや古く堅い |
| Neutral | Hi Sarah, / Hello Sarah, |
| Casual | Hey Mike, / Mike— |
(Opening Lines)
Formal な導入
- I am writing to inquire about your graduate program.
- I am writing with regard to the invoice dated March 3rd.
- I am writing to follow up on our conversation last week.
- I hope this email finds you well.(決まり文句。
Neutral な導入
- I hope you're doing well.
- Thanks for getting back to me so quickly.
- It was great to meet you at the conference yesterday.
- Just a quick note to ask about...
Casual な導入
- Hope you're having a good week!
- Quick question for you—
- Long time no talk! How've you been?
3. 依頼(Requests)
|---|---|---|
| Could you please send me the report by Friday? |
| Would you be able to send me the report by Friday? |
| I would appreciate it if you could send me the report. |
| I was wondering if you could possibly send me the report. |
- Can you send me the report when you get a chance?
- Mind sending over the slides?
- Could you shoot me the file? (shoot =
- When you get a chance, ...
- If it's not too much trouble, ...
- No rush, but ...
- Whenever works for you.
過剰丁寧の罠: "I would be extremely grateful and deeply honored if you would kindly consider the possibility of perhaps sending..." 普通の頼み事には "Could you please send..."
(Formal)
Subject: Request for the Q2 sales figures
Dear Ms. Lee,
I hope you're doing well. I'm preparing the quarterly review and
would appreciate it if you could send me the Q2 sales figures.
If possible, I'd like to have them by Thursday, but please let me
know if that timeline doesn't work for you.
Thank you very much for your help.
Best regards,
Kei Teruya
(Neutral)
Hi Sarah,
Quick favor—could you send me the Q2 sales figures when you have a
moment? Aiming to finish the review by Thursday, but no big rush.
Thanks!
Kei
(Apologies)
- I sincerely apologize for the delay in my response.
- Please accept my apologies for the confusion.
- I'm sorry for any inconvenience this may have caused.
- I take full responsibility for the error.
- Sorry for the late reply!
- My bad—I sent the wrong file. Here's the right one.
- Apologies for the mix-up.
Subject: Apology and corrected invoice
Dear Mr. Brown,
I sincerely apologize for the error in the invoice I sent yesterday.
The total was calculated incorrectly. Please find the corrected
version attached.
Thank you for your patience, and again, I'm sorry for the confusion.
Best regards,
Kei
やりすぎ注意: "I am deeply and profoundly sorry, I cannot apologize enough, I am so ashamed..."
"Sorry"
- ✗ Sorry for waiting. → ✓ Thank you for your patience. - ✗ Sorry to bother you. → ✓ Thanks for taking the time. / Do you have a moment?
(Follow-ups)
- Just following up on my previous email.
- I wanted to check in on this.
- Wanted to make sure this didn't get lost in your inbox.
- Gently bumping this up. (bump =
- I'm following up again regarding the contract. Could you let me know the status?
- I understand you're busy—just hoping to get an update when you have a chance.
Subject: Following up: project timeline
Hi James,
Hope your week's going well. Just following up on my email from
last Tuesday about the project timeline. Have you had a chance to
take a look?
No rush if you're swamped—just let me know if you need anything
from my end.
Thanks,
Kei
from my end = 私の側で。lost in your inbox = メールが埋もれる。
(Networking)
Subject: Introduction from Maria Gonzalez
Dear Dr. Patel,
Maria Gonzalez suggested I reach out to you. I'm a medical student
with a strong interest in global health, and Maria mentioned your
work on vaccine access in Southeast Asia.
I'd love to hear more about your research. Would you have 15 minutes
for a brief call in the coming weeks?
Thank you for considering, and I look forward to hearing from you.
Best regards,
Kei Teruya

enjoyed our conversation about AI in diagnostics.
I'd love to stay in touch. I'll connect with you on LinkedIn, and
please don't hesitate to reach out if I can ever be helpful.
Best,
Kei

- I'd love to stay in touch.
- Please don't hesitate to reach out.
- Let's grab a coffee sometime.
- I'll keep you posted.
7. 結び(Closings)
|---|---|
| Formal | Best regards, / Kind regards, / Sincerely, / Yours sincerely, |
| Neutral | Best, / Thanks, / Many thanks, / All the best, |
| Casual | Cheers, / Talk soon, / Take care, / Catch you later, |
- 結びの直前に一言: "Thanks again," "Looking forward to hearing from you," "Let me know if you have any questions."
- Please find the report attached. / I've attached the report.

- Could we aim to wrap this up by next week?
- Let's circle back on this next Monday.

- Please let me know if I've understood correctly.
- To recap, the next steps are... (recap =
9. CC / BCC / Reply All のマナー
- CC (carbon copy):
Thanks!"
Thank you, Maria (moving you to BCC to spare your inbox)."
